Refreshing external data

Visio Services will then contact that external source and run a query that asks for the data set, which is cached together with the schema of the external data into the Visio diagram. Visio Services then disconnects from the data source and presents the data at the bottom of Visio in the External List Window as a record set. The data in the External List Window is not a live linkā€”for performance reasons, and also to allow you to send the diagram to users who may be offline and do not have access to the data source. You can refresh the data by right-clicking anywhere in the External Data Window and selecting Refresh Data, or using the Refresh Data split button on the Data tab in the External Data group. The Refresh Data dialog box opens, which lists all the data sources linked to your drawing, as shown in Figure 1.

You can configure a linked data source by selecting the data source in the Refresh Data dialog box and clicking Configure to display the Configure Refresh dialog box, as shown in Figure 2.

Note

The Overwrite User Changes To Shape Data option is not selected by default; therefore, if you want to change the data for a shape property using the Shape Data pane, that value will not be overwritten if you later refresh the data from the external data source. Usually you want your diagrams to change as the external data changes, so it is best to select this option in most cases.
